Here's a guide for processing your clearance when you want to leave Primary Health Care Corporation in Doha Qatar.
Make sure you make a resignation letter to attach as a document when applying on ERP. Once you've applied your resignation, print these files:
- Qatar ID
- Company ID
- MOPH License
- Resignation letter
- Clearance Form
Depending on the person you will talk to, they might ask you some of these files. 2 copies of Qatar ID, and 1 copy of the rest will suffice.
Once you've done that, you'll have to wait until your last week of employment before you can go to each department for your clearance. In some departments, they'll ask you to come back on your last day. You can also process this after your last working day. But if you're in a rush to leave the country then better process them on your last week or last day. 9AM is a good time to go to PHCC Headquarters
It doesn't matter which department you go first, but the Immigration, HR, and Finance (last one) should be processed last.
1. Head of Department
Pretty self-explanatory. If you're working in the health centers, this would be your direct supervisor or lead. Your health center manager needs to sign this as well. Make sure to settle all your overtime as soon as possible to avoid delays to the Finance department. You won't have access to your ERP on your last day, so you wouldn't be able to apply for overtime. Ask for a manual overtime form to be emailed to your account. Edit this digitally according to your overtime. Have it printed, signed by your lead, and by your health center manager. After this, they'll send this to the Regional Manager and then to Finance. MAKE SURE TO PROCESS THIS EARLY.
PHCC Headquarters Tower 1 & 2
Now before proceeding to any of the departments, you'll have to go to the HR Department on the 10th floor of Tower 2. Once inside the office, turn right, the door that's facing you is the HR secretary. Ask for your Acceptance of Resignation letter. You'll need this. You can ask if you can have your clearance signed already so you don't have to come back there. If they can sign then you'll also have to surrender your Staff ID.
Once you have the letter, you can proceed to any department. I started with Medical Licensing on the 7th floor of Tower 1. This is the only department that is in Tower 1. If you're coming from Tower 2, you can head to the 4th floor. There's a bridge connecting the two towers.
For Medical Technologists, Dr. Mohammed is the one who's responsible for your clearance.
For Nurses, it'll be Jithu Jacob.
Dr. Mohammed wasn't around when I went there so Jithu accommodated me throughout the process. He explained everything on what to do once you leave Qatar and need a good standing from them. Make sure to take note of everything he says. Because you'll forget it after a long time. Just take note that if you need to apply for your good standing you'll have to log in to QCHP website and request for it. Have it delivered to you by a friend. Remember that this certificate has a validity.
Logistics Department
Tower 2, not sure which floor. I think 13th? I wasn't able to take note of this one. You can always ask security.
Someone will just sign this, you do not have to do anything else.
Housing Section
Tower 2, 8th floor.
Make sure you've cleared out your room!
Look for Hannah and she will give you a check out form. You'll be asked to come back, or you'll receive a call directly from Hannah to tell you that they've inspected your room and you're clear. You'll go back to her office and have your clearance signed. After that you need to see Abdelrahman to have your clearance signed by Salah the head of Housing. Abdelrahman's office is just across the room once you've entered the office. Hannah's will be on the left side. Once signed, ask the tea boy to photocopy the signed clearance for their copy. Hannah will explain everything so don't worry about coming back to this post.
Finance
Tower 2, 13th-floor Payroll section
Once you've entered the office, the first door on your right is where you'll have your clearance signed. This is the initial clearance. He will compute all necessary accounts and he will let you check the computation. You cannot take a picture so take a good long look at the computation. Remember when I asked you to settle your Overtime as soon as possible? He'll have it in the computation. He's very thorough with the accounts so you won't miss anything.
You'll come back to him for the last settlement.
Immigration
Tower 2 10th floor
Just beside HR Secretary.
You'll need to give a copy of you QID and your physical QID. You'll pay QAR50. This department might take a while. They'll ask if you have loans or a car or whatever debt that could hold you from leaving Qatar.
IT Department
Tower 2 4th floor, they'll ask you to go here but once there they might tell you to go to Barwa Tower and ask you to go on your last day.
Barwa Tower 2
IT Department
8th floor
You'll need 3 signatures. Once you enter the office turn left, and then turn left again. The cubicle facing you is where you enter, turn back where you came and the cubicle facing you on the other end is where you'll enter for the 2nd signature. The offices in Barwa are quite old and there are a lot of cubicles on one floor so it will be confusing. The 3rd signature will just be just beside where the 2nd signature was. It will be from the head or secretary of the IT Department. You won't miss it since it has a receiving area for guests (i.e. couch, coffee table)
Training and Development
6th floor. They might have changed the protocol where to have clearances signed after me. So any notes regarding this department shall have no use to you. Just ask anyone.
Finance
Your last meeting. You'll be given your service letter and if you're lucky, your final settlement.
